This policy explains how Khanyr collects, uses, stores, protects, and shares personal information in connection with:

• visits to the Khanyr website (khanyr.systems)
• enquiries submitted through our contact form
• business relationships with clients and suppliers
• recruitment and employment, where applicable
• compliance and regulatory activities

4.1 Website visitors

When you visit khanyr.systems, our hosting infrastructure processes your IP address to operate the website securely. This is used for rate limiting and security purposes and is not stored in a persistent database by our application.

We do not currently use website analytics, tracking cookies, or behavioural advertising tools. If this changes, this policy will be updated before any such tools are introduced.

4.2 Contact form enquiries

When you submit a message through our contact form, we collect:

• Your name
• Your email address
• Your company name (optional)
• The content of your message

We use this information to respond to your enquiry and for related business purposes. Your information is transmitted to us by email via our email provider. We retain enquiries in our email system for a reasonable business period.

4.3 Clients and client contact persons

When you engage Khanyr for services, we collect and process information necessary to deliver contracted services, communicate with you, manage invoicing, and meet our legal obligations. This typically includes your name, business contact details, job title, company information, and billing information.

4.4 Suppliers

When Khanyr engages your organisation as a supplier, we process your business contact details, contractual information, and financial information for the purpose of managing the supplier relationship.

4.5 Job applicants

If you apply for a position or engagement with Khanyr, we process your application information to evaluate your suitability. If your application is unsuccessful, we will retain your information for a reasonable period and then delete it.

Khanyr does not intentionally collect:

• Special personal information (health, biometric, religious or philosophical beliefs, political views, racial or ethnic origin, sexual orientation, criminal behaviour, trade union membership) — unless specifically required for a particular engagement
• Personal information of persons under 18 years of age
• Payment card numbers — we do not operate an online payment facility

Khanyr does not sell personal information.

We may share or make personal information available to:

• Our email provider (Titan Email) — contact form enquiries and business communications are transmitted and stored through our email infrastructure
• Our hosting provider — the website runs on hosting infrastructure that processes server-side requests (TBD — provider to be confirmed)
• GitHub (Microsoft) — source code and development infrastructure
• Professional advisers — our accountant, legal advisers, and other service providers where necessary for their services
• Regulatory and legal authorities — where we are legally required to disclose information

We do not disclose personal information to third parties for their own marketing purposes.

Some of our service providers process information outside South Africa. This includes GitHub (United States). Where personal information is processed outside South Africa, Khanyr considers the adequacy of applicable protections.

Khanyr applies reasonable technical and organisational measures to protect personal information, including encrypted email transmission, access controls on business systems, and server-side input validation on web forms.

If you have a security concern, please contact the Information Officer.

We retain personal information for as long as necessary for the purpose it was collected, or as required by applicable law. When information is no longer required, we delete or destroy it securely.

As a data subject, you have the following rights under POPIA:

To exercise your rights, contact the Information Officer. We will verify your identity before processing a request. We aim to respond within 30 days.

The Khanyr website does not currently use tracking cookies, analytics cookies, or behavioural advertising tools.

If Khanyr introduces analytics or other tracking tools in the future, this policy will be updated before those tools are activated.

Khanyr does not currently conduct electronic direct marketing campaigns.
